What information do we collect?
When you contact us to make a booking enquiry or subscribe to our mailing list either by email, social media private message, website contact form or via telephone we need to collect personal data from you.
We may collect your personal data in the following ways:
When you submit a booking enquiry we will ask for your name, address, telephone number and email address. This is so that we can provide you with a quote.
When you book a holiday with us we will ask for your, and all persons travelling with you, name, address, telephone number, email address, experience at the activity you are booking, medical conditions, disability details, height (for bike rentals only) and dietary requirements. This is so that we can arrange your holiday and ensure that it is suitable for you.
If you request to be added to our mailing list to receive promotions and newsletters we will ask for your name and email address. This is so that we can email such promotions to you.
How do we use personal information?
We use your personal data in the following ways:
Account set up and administration;
keeping a record of the enquiries and bookings you have made;
to provide our services in arranging and managing your holiday;
personalisation of promotional emails;
delivery of marketing and promotional material including newsletters;
for any legal obligations imposed on us by government or public authorities (for example; prevention of fraud);
internal auditing and business analysis.
What legal basis do we have for processing your personal data?
We have the lawful basis of ‘contract’ for processing your personal data. This means that we have the right to process your personal data for the following reasons:

because you have asked us to do something before entering into a contract with us. For example, providing you with a quote.
We will only process information that is necessary for each individual enquiry or booking. For example we will not ask your dietary requirements if we are not arranging any food or meals as part of your holiday.

We will give you this chose either via telephone or via our online booking form. Consenting to such processing of your information is not a precondition of our service.
When do we share personal data?
When you make a booking with Black Sands Travel Ltd, the appropriate personal data that we collect from you will be passed on via email or telephone to the relevant supplier (such as hotel, rental center etc). The supplier needs this information in order to process your booking and ensure that the service they provide is tailored to you. In making your booking you consent to us sharing your data with these suppliers.
We will also share your data, if requested to, with governments and public authorities.
Where do we store and process personal data?
Your personal data will be stored and processed with the UK and / or any other countries of the European Economic Area (EEA).
How do we secure personal data?
We try our best to do all that we can to keep your data secure. We use systems and processes to prevent unauthorised access or disclosure of your information, such as encryption.
We also make sure that any third parties that we deal with keep all personal data they process on our behalf secure.
How long do we keep your personal data for?
We will retain your information for no longer than is necessary for us to fulfil the purpose for which it was collected as set out in the policy.
If you have provided your personal information to us so that we can process your holiday booking we are entitled to keep this information for a period of ten years and in certain circumstances we may be able to retain it for a longer period.
If you have consented to receive marketing material and provided us with your personal information for such purposes we may retain that information for as long as we consider your consent remains valid or until you withdraw your consent.

The right to be informed about the collection of your personal data. the purpose of this policy is to provide such information.
the right to access your personal information which we hold about you.

In some situations, such as if you have an on going contractual obligation or we are required to retain your information in order to comply with our legal obligations, this may not be possible and we retain the right to hold your information.

the right to portability. This means you have the right to receive, move, copy or transfer your personal data to another different controller when we are processing your information based on consent or on a contract and the process is carried out by automated means.

You can make this objection either verbally or in writing. Black Sands Travel ltd will respond to your objection within one calendar month. There are some circumstances in which we are allowed to continue processing your information even if you object, such as if we have an on going contractual relationship.
